Office Manager

About: 

The Zero Emission Transportation Association (ZETA) is a public interest nonprofit of 50+ member companies advocating for 100% electric vehicle (EV) sales. Our membership spans the full domestic EV supply chain and includes critical minerals producers, charging manufacturers and network operators, electric utilities, battery manufacturers and recyclers, and vehicle manufacturers, among others. Together, we seek to shape federal policy and increase public awareness about EVs and the benefits of transportation electrification.

Position

ZETA is seeking to fill a full-time Office Manager position. As an Office Manager, you will help our team coordinate daily operations and maintain administrative oversight over the organization to ensure that the office runs smoothly and efficiently.

While the Office Manager will interact primarily with internal staff and will report to the Chief of Staff and Executive Director, the Office Manager should be prepared to communicate regularly with external partners—lawyers, auditors, state and federal business agencies, vendors, and administrative consultants. 

Responsibilities:

Business Administration 
  • Work with Executive Director to manage administrative budgets and asset recordkeeping
  • Coordinate with ZETA members, vendors, consultants, and service providers to ensure all parties are invoiced and paid on time
  • Oversee and manage state charitable registration applications, business registration, and quarterly lobbying disclosures 
  • Oversee and coordinate annual GAAP Audit process together with relevant staff  
Human Resources (HR) Recruitment and Staff Support 
  • Create and disseminate job descriptions
  • Collect application materials and conduct initial applicant review and interview process
  • Prepare offer letters and onboarding letters, and onboard new employees
  • Maintain records (I-9 forms, application materials, signed employee handbooks, etc.
  • Process salaries and benefits (e.g. healthcare) for staff
  • Develop and implement procedures and standards to improve office operations
Office Operations 
  • Respond to inquiries related to operations, governance, travel, and other general questions 
  • Coordinate appointments and schedules and manages staff calendars
  • Source ZETA merchandise and maintain inventory
  • Research, track, maintain, and purchase subscriptions (ex. Politico Pro, Benchmark), professional services (consultants, auditors, cleaners, IT support), and equipment (business cards, conferencing equipment, office supplies) 
  • Arrange travel processes, including flights, hotels, and car rentals

Qualifications:

  • Bachelor’s degree in business administration, communications, or any related field 
  • 2 to 4 years of experience as an administrative or office manager (nonprofit preferred)
  • Proficiency in ADP, Quickbooks, Google Workspace, and Microsoft 365 suite
  • Knowledge of accounting, clerical, and administrative management best practices
  • Experience developing internal systems
  • Exceptional attention to detail, organizational, and time-management skills
  • Must be able to self-manage, multitask, and work in a fast-paced environment

Salary: 

$75,000-$90,000, commensurate with experience.
Benefits include 401(k) 5% retirement match), health insurance through DC HealthLink, 24 days paid time off (16 vacation/8 sick leave, with opportunities for rollover) and all federal holidays.

This is a hybrid (in-person first) role based in Washington, DC.
